Managing Appointments in Promed MRS

This section explains how to create, view, and manage patient appointments.
Example patient: Thomas Huddersfield

1. Creating a New Appointment

Step 1: Open the Appointments Module

  1. Navigate to Appointments → Schedule Appointment

Step 2: Select Patient

  1. Search for Thomas Huddersfield
  2. Confirm the patient’s details (DOB, gender, ID)

Step 3: Set Appointment Details

  • Appointment Type: Consultation, Follow-up, Lab Test, etc.
  • Date and Time: Select the desired schedule
  • Location/Ward: Choose the clinic or service location
  • Provider/Doctor: Assign the responsible clinician
  • Notes (optional): Add any relevant instructions or reason for visit

Step 4: Save Appointment

  • Click Save to confirm
  • The appointment now appears in the schedule and in the patient’s record

2. Viewing Appointments

Option 1: Patient Record

  • Open Thomas Huddersfield’s record
  • Go to Appointments tab to see upcoming and past appointments

Option 2: Calendar / Schedule View

  • Navigate to Appointments → Calendar
  • View all appointments by date, provider, or location
  • Filter to find specific patients or appointment types

3. Editing or Rescheduling an Appointment

  1. Select the appointment from the schedule or patient record
  2. Click Edit
  3. Change date, time, location, or provider as needed
  4. Save changes

The appointment status updates automatically, and notifications (if configured) are sent to the patient and provider

4. Cancelling an Appointment

  1. Open the appointment from the schedule or patient record
  2. Click Cancel
  3. Optionally, add a reason for cancellation
  4. Confirm cancellation

Cancelled appointments are archived but visible in the patient’s appointment history

5. Tips

  • Use appointment types consistently to differentiate between consultation, follow-up, and lab visits
  • Filter the calendar by provider to manage workload efficiently
  • Always check for double bookings before scheduling
  • For recurring visits, use the Repeat / Recurrence option if available
