Promed MRS, Getting Started

System Requirements & Browser Compatibility

Promed MRS works best with modern web browsers. For optimal performance, use:

  • Google Chrome (version 90 or higher) – Recommended
  • Mozilla Firefox (version 88 or higher)
  • Microsoft Edge (version 90 or higher)
  • Safari (version 14 or higher) – for macOS users

System Requirements

  • Internet Connection: Stable broadband connection (minimum 2 Mbps)
  • Screen Resolution: 1366×768 or higher recommended
  • RAM: 4GB minimum (8GB recommended for smoother performance)
  • Operating System: Windows 10/11, macOS 10.14+, or modern Linux distributions

Note: Mobile browsers are supported for viewing, but desktop browsers are recommended for data entry and clinical workflows.

Initial System Access

Getting Your Access Credentials

Your system administrator will provide you with:

  1. System URL – The web address to access Promed MRS (e.g., https://promed.yourfacility.com)
  2. Username – Your unique login identifier
  3. Temporary Password – You’ll be required to change this on first login

Security Tip: Never share your login credentials with anyone. Each user should have their own account for audit and accountability purposes.

Accessing the System

  1. Open your preferred web browser
  2. Enter the Promed MRS URL provided by your administrator
  3. Bookmark the page for quick future access
  4. You should see the login screen

First-Time Login

Step-by-Step Login Process

  1. Enter Your Credentials
    • Type your username in the “Username” field
    • Enter the temporary password provided by your administrator
    • Select your preferred location (if prompted)
  2. Change Your Password (First Login Only)
    • You’ll be prompted to create a new password
    • Choose a strong password that includes:
      • At least 8 characters
      • Mix of uppercase and lowercase letters
      • At least one number
      • At least one special character (@, #, $, etc.)
  3. Set Your Preferences
    • Default location (ward, clinic, or department)
    • Language preference
    • Timezone settings

4. Review the Dashboard

  • Take a moment to familiarise yourself with the interface
  • Note the main navigation areas

    Important: Write down your new password in a secure location or use a password manager. Avoid using easily guessable passwords like birthdays or common words.

    Password Reset & Recovery

    If You Forget Your Password

    Option 1: Self-Service Reset (if enabled)

    1. Click “Forgot Password?” on the login screen
    2. Enter your username or email address
    3. Check your email for a password reset link
    4. Click the link and follow the instructions to create a new password

    Option 2: Contact Administrator

    1. Contact your system administrator or IT help desk
    2. Provide your username and employee/staff ID for verification
    3. Administrator will reset your password and provide temporary credentials
    4. Log in and change to a new password immediately

    Account Locked?

    If you enter incorrect credentials multiple times, your account may be temporarily locked for security purposes.

    • Wait Period: Typically 15-30 minutes
    • Contact Admin: For immediate unlock, contact your system administrator

    Understanding the Dashboard Layout

    When you first log in, you’ll see the Promed MRS dashboard – your central hub for all activities.

    1. Top Navigation Bar

    • Home Icon: Returns you to the main dashboard
    • App Menu: Access to different modules (Clinical, Patient, Orders, etc.)
    • User Profile: Your name and account settings dropdown
    • Notifications: System alerts and messages
    • Help Icon: Access to documentation and support

    2. Left Sidebar (if visible)

    • Quick access to frequently used functions
    • Module-specific navigation when working in particular areas
    • Can be collapsed for more screen space

    3. Main Content Area

    • Central workspace where most of your work happens
    • Changes based on the module or function you’re using
    • Patient information displays here when selected

    4. Quick Action Tiles/Widgets The dashboard typically includes:

    • Active Visits: View and manage ongoing patient visits
    • Appointments: Today’s scheduled appointments
    • Patient Search: Quick patient lookup
    • Service Queues: Pending tasks in your department
    • Recent Patients: Patients you’ve recently worked with

    Dashboard Widgets

    Your dashboard may include:

    • Today’s Statistics: Patient visits, admissions, appointments
    • Pending Tasks: Orders to review, notes to complete
    • Queue Management: Patients waiting in various service areas
    • Reports: Quick access to commonly used reports
    • Announcements: Important facility or system notices

    Tip: You can often customize your dashboard by rearranging widgets or hiding ones you don’t use regularly. Check with your administrator about customization options.

    Basic Navigation Tips

    Moving Around the System

    1. Search Bar: Use the global search at the top to quickly find patients, orders, or functions
    2. Breadcrumbs: Follow the trail at the top of the screen to know where you are
    3. Back Button: Usually found in the top-left corner of each module
    4. Keyboard Shortcuts: Available for power users (see Appendix)

    Common Interface Elements

    • Blue Buttons: Primary actions (Save, Submit, Continue)
    • Grey Buttons: Secondary actions (Cancel, Back)
    • Icons with Text: Clickable navigation elements
    • Three-Dot Menu (⋮): Additional options and actions
    • Pencil Icon: Edit function
    • Trash Icon: Delete or remove function

    Working with Forms

    • Required Fields: Marked with an asterisk (*) or red border
    • Date Pickers: Click the calendar icon to select dates
    • Dropdown Menus: Click to see available options
    • Auto-Complete: Start typing to filter and select options
    • Save Buttons: Always at the bottom or top-right of forms

    Understanding Your User Role

    Your access and available functions depend on your assigned role:

    • System Administrator: Full system access and configuration
    • Doctor/Clinician: Clinical documentation, orders, prescriptions
    • Nurse: Vital signs, triage, clinical notes, medication administration
    • Pharmacist: Medication dispensing, inventory management
    • Lab Technician: Lab order management, results entry
    • Billing Officer: Invoicing, payment processing, financial reports
    • Registration Clerk: Patient registration and demographic updates
    • Receptionist: Appointments, patient check-in/check-out

    Note: If you need access to functions not available in your current role, contact your administrator to request appropriate permissions.
