Email Server Setup
Create an Email Account
- Access Email Account Settings
- Go to Tools > Email Account
- Click Add Email Account
- Configure SMTP Server
- Email Address: Enter your sending email address (e.g., [email protected])
- SMTP Server: Enter your SMTP server address
- Example:
mail.smtp2go.com - Other popular options:
smtp.gmail.com,smtp.sendgrid.net,smtp.mailgun.org
- Example:
- Use TLS: Enable (recommended for security)
- Port: Usually 587 for TLS or 465 for SSL
- Login ID: Your email account username
- Password: Your email account password or app-specific password
- Outgoing Only Configuration
- Check “Enable Outgoing”
- Leave “Enable Incoming” unchecked if you only need to send emails
- Set as “Default Outgoing” if this should be your primary sending account
- Test Configuration
- Save the email account
- Click “Send Test Email” to verify the setup works correctly
Remove “Powered by” Footer
- Access System Settings
- Navigate to Setup > System Settings
- Scroll to the Email section
- Clear Email Footer
- Find the “Email Footer Address” field
- Clear any text that says “Sent via YoctoERP” or “Powered by YoctoERP”
- Optionally, add your own custom footer with company information
- Save the settings
Email Best Practices
- Domain Authentication: Configure SPF and DKIM records for your domain to improve deliverability
- Rate Limits: Be aware of your SMTP provider’s sending limits to avoid service interruptions
- Reply-To Address: Set up a monitored reply-to address for customer responses
- Email Templates: Customize email templates in Setup > Email > Email Template for consistent branding
